Prepare a better RFQ

Ask for the specifications, production evidence and commercial terms that determine a real fit.

A useful RFQ helps both buyer and manufacturer discover whether a real commercial fit exists. It should be specific enough to avoid weeks of clarification but not pretend that technical specifications have already been verified.

1. Describe the exact product

Include the ingredient or finished-product family; intended use; composition requirements; cut or texture; sweetness; target Brix/acidity or fat content when relevant; allergens or prohibited ingredients; and anticipated destination market. If you have a benchmark sample or reference specification, say so.

2. Describe the logistics and format

State whether you need bulk aseptic bags, frozen cartons, retail-ready packs or private labeling. Include forecast quantity, estimated order frequency, desired shipment timing and target destination. Ask the manufacturer for its actual current MOQ, available pack sizes and lead time rather than assuming published examples remain current.

3. Request the right documentation

Ask for recent product specifications, ingredient/allergen statements, applicable certificates with issuer/expiry/facility scope, batch traceability, country-of-origin documentation and any food-safety or test information needed for your import market. Import eligibility must be checked against the importing country's current regulatory requirements.

4. Confirm the seller and manufacturer

Ask for the invoicing legal entity, exact production plant, whether production is in-house or subcontracted, who controls quality, and the direct contact for sample and order disputes. For private-label work, ask about brand ownership, packaging-file requirements, manufacturing rights and tooling or formulation fees.

5. Send a clean request

Subject: Inquiry: [product] / [destination country] / [estimated quantity]

Hello, we are evaluating suppliers for [specific product]. We require [key specification], in [packaging format] for distribution in [country]. Our estimated initial quantity is [range], with [expected frequency]. Please confirm whether your company manufactures this item in the Philippines, your current minimum order and lead time, available specification and food-safety documents, sample process, and the appropriate contact for a quotation. Thank you.
